Information we collect
Depending on how you contact us or use our services, we may collect:
- Contact and identity details, such as your name, organisation, email address, telephone number and postal address.
- Information about an enquiry, project, property, building defect or dispute.
- Documents, photographs, plans, correspondence and other material supplied for an inspection, report or expert witness instruction.
- Billing and payment records.
- Technical information about visits to the website, where collected by the website host or other services.
Case documents may contain personal information about other people. Please provide only material relevant to the instruction that you are entitled to share.
How we use information and our lawful bases
- To respond to enquiries and prepare quotations: legitimate interests in responding to prospective clients and, where applicable, steps taken at your request before entering a contract.
- To provide consultancy, inspection, reporting and expert witness services: performance of a contract and, where relevant, legitimate interests in providing and administering those services.
- To prepare, review and share reports or evidence with the client, their legal representatives, a court, tribunal or other relevant parties: performance of a contract, legitimate interests and, where applicable, the establishment, exercise or defence of legal claims.
- To manage accounts, invoices and tax records: legal obligation and performance of a contract.
- To maintain business and website security: legitimate interests.

Who we share information with
We may share relevant information with the client who instructed us and their legal representatives; courts, tribunals, other experts or relevant parties where needed for an instruction or proceedings; professional advisers, insurers and regulators where reasonably necessary; and Google Workspace for business email and file storage, GitHub Pages for website hosting, and KashFlow for accounting. We may also share relevant information with banks or payment providers when needed to process an agreed payment. We share only information relevant and necessary for the purpose.
International transfers
Some service providers may process or store information outside the United Kingdom. Google Workspace and GitHub publish information about their international processing and transfer safeguards. Where a transfer is subject to UK data protection law, an appropriate transfer mechanism must apply, such as an adequacy regulation or an approved contractual safeguard. You can contact us for further information about the safeguards relevant to a particular service.
How long we keep information
We keep enquiry, client, project and expert witness records for as long as reasonably necessary to complete instructions, meet legal and professional obligations, and deal with claims or complaints. Our usual retention period for completed project and expert witness files is 15 years after the work is completed. Financial records are kept for the period required by law. We securely delete or destroy records when they are no longer needed.
Your rights
Depending on the circumstances, you may have the right to request access to your personal information, correction, deletion or restriction of its use, object to processing based on legitimate interests, or request a portable copy. These rights are subject to legal conditions and exceptions, including where information must be retained to comply with the law or establish, exercise or defend legal claims.
